Determining the Status of Your DBS Certificate and Its Effect on the Coach Licence Renewal Process

Summary

The status of your DBS certificate can be found in the Background Checks section of your Sport 80 account. If you are unsure how to find this section of your Sport 80 account, please refer to the Sport 80 DBS User Guide

If you subsequently find that your DBS certificate has either lapsed or is about to lapse and your coach licence renewal is due, you:

  1. must immediately contact Archery GB (AGB) (dbs@archerygb.org) to resolve the matter; and
  2. should complete your coach licence renewal application and send it to the County Coaching Organiser for consideration by the Coach Licence Renewal Panel.

If the Coach Licence Renewal Panel subsequently recommend to AGB that your coach licence be renewed, but your DBS certificate is no longer current by the time AGB receive the Panel’s recommendation, the most likely outcome will be that AGB will suspend your coach licence until such time that you are issued with a new DBS certificate.

Introduction

Your Sport 80 account will hold a record of the status of your Disclosing and Barring Service DBS certificate according to the information held by AGB. Therefore, the purpose of this document is to:

  1. explain how you can find out the status of your DBS certificate; and
  2. explain how the status of your DBS certificate affects the coach licence renewal process.

Determining the Status of Your DBS Certificate

The status of your DBS certificate is recorded in the Background Checks section of your Sport 80 account. This section of your Sport 80 account can be accessed from the home page by clicking on the “View Profile” button and then selecting “Background Checks”.

Effect of Your DBS Certificate on the Coach Licence Renewal Process

Within their terms of reference, the Coach Licence Renewal Panel:

  1. have no need to see any information relating to the status of your DBS certificate; and
  2. are not permitted to ask you or AGB for any information relating to the status of your DBS certificate.

Furthermore, since your DBS certificate potentially contains highly sensitive personal information, if you currently hold a valid certificate, you are most strongly advised NOT to send a copy of it with the rest of your coach licence renewal documentation to the County Coaching Organiser.

Therefore, the status of your DBS certificate has no bearing at all on the final recommendation made to AGB by the Coach Licence Renewal Panel regarding whether your coaching qualification should or should not be renewed. However, if the Renewal Panel recommend to AGB that your coach licence should be renewed, but your DBS certificate has lapsed, the most likely outcome will be that AGB will suspend your coaching licence until a new certificate has been issued.

Another point to note is that it does take some time for the Renewal Panel to review your coach licence application and send their recommendation to AGB. Therefore, if your DBS certificate is valid at the time you submit your coach licence renewal to the Panel, but it has lapsed by the time the Panel’s recommendation reaches AGB, AGB will again suspend your coaching licence until such time as a new certificate has been issued.

Since the management of your DBS background check is administered directly through AGB, if you find that your DBS certificate has lapsed or is about to lapse, you MUST immediately contact AGB dbs@archerygb.org to resolve the matter. However, this does not stop you from completing the coach licence renewal documentation and sending it to the C ounty Coaching Organiser for consideration by the Renewal Panel.
